This policy describes what information Qevatrix Trademark OS collects when you use the platform, why we hold it, and the choices you have. It reflects how the software actually works.
Who we are
Qevatrix Trademark OS ("the platform", "we") is operated by Veritas Prism LLC, the limited liability company that runs Qevatrix.com. Questions about this policy can be sent to support@qevatrix.com.
Information you give us
- Account information — the email address you sign up with, your name if you provide it, and the organization workspace you belong to. If you sign in with Google, we receive the email address and basic profile information associated with that Google account.
- Portfolio data — the marks, owners, filing and registration dates, classes, goods and services wording, deadlines, notes and watchlist entries you enter.
- Documents you upload — specimens, exhibits, office action correspondence and other files you add to a mark or a filing package.
- Search and assistant input — the marks you screen, the filters you apply, and the questions you ask the AI assistant.
Information we retrieve for you
The platform reads public United States Patent and Trademark Office records — application and registration data, status information and case documents — and stores copies alongside your portfolio so clearance reports, timelines and monitoring alerts work. These records are public information published by the USPTO, not information about you.
How the information is used
- To operate your workspace: portfolio, deadlines, documents and reporting.
- To run clearance searches and produce Conflict Score analysis, including sending the mark text, class and goods wording you supply to an AI model that generates the narrative summary and factor commentary.
- To analyze office actions and draft responses, which involves sending the refusal text you provide to an AI model.
- To answer AI assistant questions, which involves sending relevant items from your own workspace record together with your question to an AI model.
- To send in-app notifications and account emails such as sign-up confirmation, invitations and password resets.
We do not sell your information, and we do not use your portfolio data to advertise to you.
Who can see your data
Your data belongs to your organization workspace. Other members of that workspace can see it according to their role — owner, admin, member or viewer. Organizations are isolated from one another at the database level, so another organization cannot read your portfolio.
We use service providers to run the platform: cloud hosting and database, email delivery for account messages, and AI model providers for the analysis features described above. They process this data on our behalf in order to provide those services.
We may disclose information where we are legally required to do so, or where it is necessary to protect the platform and its users.
Retention and deletion
Portfolio records, documents and deadlines are kept while your workspace is active. When you delete a mark, its classes, deadlines, event history and monitoring state are deleted with it. You can ask us to delete your account and workspace data by contacting support@qevatrix.com.
Your choices
- You can view and correct the portfolio data you entered at any time inside the app.
- You can update your profile and remove team members from workspace settings.
- You can turn watchlist monitoring on or off per application.
- You can request access to, correction of, or deletion of your account data by email.
Changes to this policy
If this policy changes, we will update the date at the top of this page. Continued use of the platform after a change means you accept the updated policy.
